Where do I find my Shopify bills?

In September a merchant on the Shopify Community complained that the “Export bills” option sounds as if it gives you your invoices, but sends a CSV of your billing history, and that the PDF only appears once you open each bill. “As a client, I do not have to lose my time every quarter 1 hour to find the PDF invoices of my spending in Shopify.”

Your Shopify bills are in Settings, Billing, under Past bills. Open a bill, click Export bill and choose PDF. As of 8 October 2026 that is the only way Shopify gives you a bill as a PDF, one at a time, and Export bills sends your billing history as a spreadsheet. A store can get several bills a month, because the plan, apps, shipping labels and some payment fees each bill on their own schedule.

Where do I find my Shopify bills?

Click a bill under Settings, Billing, Past bills, then Export bill, and choose PDF or a spreadsheet. The PDF starts with how the total adds up and then lists every charge. Past bills stays open to you even if the store is paused or closed.

Export bills, in the menu in the Past bills section, emails you a CSV of your billing history for any dates since you opened the account. The Statement of charges, in its own section of the Billing page, totals your charges for any range in the last 90 days, and Shopify doesn’t say what format its Export button gives. If Shopify cancels or reduces a bill, it issues a credit note, a separate PDF you download from the bill it changed. On Plus, or with stores grouped in an organisation, bills sit on the organisation’s Billing page and export as spreadsheets too, along with an expense report that lists each charge by store and type.

We found no way to download several bills as PDFs at once, in Shopify’s help pages or in its changelog back to 2018. To match a bill to your card, find the charge on your statement, where it reads SHOPIFY * and a 9-digit bill number, and search Past bills for that number.

Shopify Bill Pay, which also comes up when you search for Shopify bills, is a different product, a US service for paying your own suppliers from the admin.

What’s on a Shopify bill?

The plan, any apps that bill through Shopify, shipping labels, and a transaction fee on online sales you take through a provider other than Shopify Payments. Shopify’s own extras go on it too, such as Messaging for emails past the free 10,000 a month, and the Shopify Tax fee. Domains and themes get bills of their own. Tax, where Shopify charges it, sits on a separate line at the bottom.

Charge What it is When Shopify bills it
The plan Your Shopify subscription, billed monthly at $39 on Basic, $105 on Grow or $399 on Advanced Every 30 days, in advance. A yearly plan is charged once for the year, and you still get a monthly bill for everything else, even if it shows $0
Apps What developers charge through Shopify, monthly, by use or once Monthly and usage charges on the regular bill, or a threshold bill if one comes first, each app on its own 30-day cycle. A one-time purchase gets its own bill
Shipping labels Labels you buy in Shopify, and later carrier adjustments and insurance On a threshold bill as soon as your charges reach your billing threshold, otherwise on the regular bill. Your first shipping label is billed on its own
Third-party transaction fees Shopify’s fee on online sales paid through another provider, and on stores opened since 12 May 2025 on store credit and gift cards. 2% on Basic, 1% on Grow, 0.6% on Advanced and 0.2% on Plus On the regular bill, or sooner if your charges pass the threshold
Messaging Emails past the free 10,000 a month, from $1 per 1,000 The regular bill
Shopify Tax A fee on each order where Shopify Tax works out the tax, once your sales pass the free allowance, covered in post 05 The regular bill, or a threshold bill
Domains and themes Buying or renewing a domain, buying a theme A bill of their own

Shopify Payments’ fee on each card payment is not on the bill, because Shopify takes it out of your payouts. Post 03 shows where to find it order by order. If you use another payment provider, you pay that provider’s fee as well as Shopify’s transaction fee on the bill, and Shopify keeps its fee when you refund. Some apps bill you directly rather than through Shopify, and their charges never appear on a Shopify bill.

Why am I getting so many bills from Shopify?

The plan bills every 30 days, so a 31-day month can bring two plan bills. Apps, labels and outside payment fees add up between plan bills, and when the running total passes your billing threshold, Shopify bills them straight away. A domain, a theme or a one-time app purchase gets a bill of its own, and so does upgrading your plan.

Shopify doesn’t publish its thresholds. Its help pages use $400 as an example, and your own threshold shows under Current billing cycle on the Billing page once you have charges besides the plan.

Take an example US store on the Grow plan, billed monthly, with 400 orders in a 30-day cycle worth $30,000 including shipping and tax. It takes payments through a provider other than Shopify Payments, runs two paid apps and buys a Shopify label for every order. The plan price, the fee rate and the $400 threshold come from Shopify. We made up the app prices and the $8 label.

Charge in the cycle Amount How it is billed In the books
The Grow plan $105 The regular bill Overhead
Two apps, at $29 and $49 a month $78 The regular bill, or a threshold bill Overhead
Third-party transaction fees, 1% of $30,000 $300 Threshold bills, and the regular bill Cost of the orders
400 shipping labels at $8 $3,200 Threshold bills, and the regular bill Cost of the orders
Total, before tax $3,683

At a $400 threshold, this store gets at least nine bills in one 30-day cycle, the regular one included, and up to thirteen if the plan counts towards every threshold, which Shopify’s pages leave open.

A UK store billed in pounds pays £65 a month for Grow. Its app charges and labels are converted from dollars with a 1.5% conversion fee, its transaction fees are converted without one, and Shopify charges no tax on UK labels.

To stop an app’s future charges, uninstall it under Settings, Apps. A charge it has already raised still lands on your next bill, and cancelling inside the app doesn’t stop Shopify billing for it. Apps keep billing while a store is paused, and closing a store doesn’t cancel a domain renewal, which Shopify charges 14 days before the registration runs out.

Where does each charge go in the books?

The plan and flat monthly apps cost the same however many orders you ship, so they are overheads. Shipping labels and third-party transaction fees rise with every order, so they are costs of the orders they come with. Booked together as one Shopify overhead, they drop out of your margin per order.

In the example, $3,500 of the $3,683 is labels and fees, $8.75 an order. Booked as overhead, each of those 400 orders looks $8.75 more profitable than it was.

In the US, Shopify may charge sales tax if your billing address is in one of the 46 states it lists, every state except Delaware, Montana, New Hampshire and Oregon, or in Washington DC or Puerto Rico. Labels are taxed only in Arizona, DC, Hawaii, New Mexico, Puerto Rico and West Virginia. The IRS says to treat sales tax you pay on a service as part of the cost of the service, so tax on the plan goes with the plan and tax on labels with the labels.

In the UK, Shopify’s terms set which Shopify company you contract with by your billing address, and for the UK that is the “All other jurisdictions” row, Shopify International Limited in Ireland. For most services a VAT-registered business buys from a supplier outside the UK, HMRC’s rule is the reverse charge. You account for the VAT yourself, as VAT due in box 1 and VAT reclaimed in box 4 of your return, with the value in boxes 6 and 7, so if you can reclaim VAT in full it costs you nothing. Shopify says only that a bill “might” carry a reverse charge notice for certain countries, and none of the pages we read says how it treats UK bills, so look at the VAT lines on one of your own bills before you set up the bookkeeping.

Is the billing spreadsheet enough for my accountant?

Keep the PDFs as well. HMRC calls VAT invoices “the primary evidence” for reclaiming VAT. It lets you record the totals from a supplier’s statement, but only if you also cross-reference every item on it to the invoices. In the US, the IRS wants records that show who you paid, how much, proof of payment, the date and what it was for. It accepts statements and invoices, and says you may need a combination.

Shopify doesn’t list the columns in its billing spreadsheet, so you can’t tell from Shopify whether it carries all five. The PDF shows the total, the billing period, your store name, the payment method and every charge, and your card statement is the proof of payment. Shopify’s tax page for North America also says its invoices “are not formal tax invoices for subscription fees”, and sends US and Canadian stores to Support for tax documents.

How do I collect all my Shopify bills each month?

Have the bills sent to your bookkeeper as Shopify issues them, and save a month’s PDFs at a time.

  1. Add your bookkeeper as staff with the permission called View billing and receive billing emails. Shopify emails each bill to the store owner and to staff with that permission. Don’t add them as a collaborator, because collaborators get no billing emails even with the same permission. On Plus, or with stores in an organisation, give them an organisation role with Billing access instead.
  2. Set a mail rule for Shopify’s billing emails, which go out when a bill is paid or needs action. Merchants reported in 2024 that the email doesn’t attach the PDF, and one said it links to the bill instead, so treat the email as a reminder and take the PDF from Past bills.
  3. Once a month, go through Past bills and export that month’s bills as PDFs, with any credit notes.
  4. Run Export bills for the same dates and check each line against your PDFs and your card statement, where every charge shows its 9-digit bill number. A charge on the card with no PDF is a bill you missed.

Some tools fetch the PDFs for you. GetMyInvoices and Invoice Radar say they download Shopify bills, and Dext lists Shopify among the portals its Fetch collects from. Each does it by logging in to your Shopify account with your details. Invoice Radar says it runs on your own computer and never stores your password. If you try one, see whether it works with a staff account that has only the billing permission, rather than the owner’s login.

We found no Shopify API that gives a store its own bills. The Billing API only shows an app the charges that app created, so a data pipeline can’t collect the bills. It can still work out the cost of each order. ShopifyQL, Shopify’s reporting language, reports shipping label costs by order, so each label’s cost can be charged to the order it shipped, and the third-party fee follows from each order’s products less discounts, plus tax and shipping, at your plan’s rate. ShopifyQL reports labels in your store’s currency, which may not be the currency you’re billed in, and without bill numbers, so use it for margin per order and keep the PDFs for the books. We build that per-order line for clients as part of Unit Economics & Profit.
